Privacy Policy
Effective date: September 22, 2026
This is the part where most studios paste in something a lawyer wrote in 2012. We're not doing that. Here's what we collect, why, and what we do with it, in plain English.

Who we are
Core Media Co. LLC is a New York limited liability company operating a content studio out of Long Island, NY. When this policy says "we," "us," or "Core Media Co.," that's who we mean. When it says "you," we mean anyone visiting our site, contacting us about work, or already a client.

What we collect
We collect three kinds of information. That's it.
1. What you give us directly. When you fill out our website contact form, send us an email, or sign up for our list, you give us things like your name, email, phone number, business details, and whatever else you choose to share. If you become a client, we'll also collect the information needed to do the work, brand assets, schedules, addresses for shoots, payment details handled by our payment processor.
2. What your browser tells us. Like any website, ours logs basic technical information automatically, IP address, browser type, pages visited, referring site, time stamps. This is standard server log data. We use it to keep the site running and to understand what's working.
3. Content we capture in the course of work. This is specific to what we do. When we shoot listing media, monthly content, or event coverage, we capture video, audio, and photographs. That can include footage of clients, their team members, properties, and, at events, attendees. If you're a client, we'll spell out exactly what we're capturing and what we'll do with it before the camera turns on. If you're someone we've captured incidentally (an event attendee, for example), the host who hired us is responsible for telling you what's being filmed; we capture per the agreement we have with them.
What we do with it
Short version: we use your information to do the work, run the business, and stay in touch with people who want to hear from us.
Longer version:
- To deliver the work. Producing your content, communicating about projects, scheduling shoots, sending deliverables.
- To run the business. Invoicing, payments, accounting, legal compliance, dispute resolution.
- To communicate. Responding to inquiries, sending project updates, sending occasional emails to people who signed up for our list.
- To improve. Understanding which services people care about, which pages of our site work, which content resonates.
- To market our work. Showcasing finished projects in our portfolio, on social media, in pitches, and on this site, within the rights granted in each client agreement (see Portfolio rights below).
We do not sell your information. We don't rent it, trade it, or hand it to data brokers. If we ever change that, we'll change this policy first and tell you.
Who we share it with
We share information with a small set of service providers who help us run the business. They're contractually required to handle your information appropriately and only for the purposes we've engaged them for. Currently that includes:
- Follow Up Boss (our CRM; it receives the contact details and message you send through our website contact form)
- Google (Google Workspace for email and storage)
- Our payment processor (handles credit card and ACH transactions; we never see your full card number)
- Email and marketing tools (for the newsletter and client communications)
- Cloud storage and delivery platforms (for delivering large video files)
- Accounting and bookkeeping providers
This site may also use Google Analytics and Google Ads conversion measurement, both run by Google. They collect device and usage data, such as your browser and device type, the pages you visit, how you arrived, and an approximate location based on your IP address, plus an ad click identifier when you come to the site from one of our ads. No form contents are sent to them: they can learn that a form was sent, never what you wrote in it. To opt out, block or clear cookies in your browser settings, or turn off ad personalization on Google's ads settings page. Google also offers a browser add-on that turns off Google Analytics on every site.
We may also share information when we're legally required to, subpoena, court order, fraud investigation, or to protect our rights, our team, or our clients. If we ever sell or merge the business, your information moves with it, and we'll notify clients before that happens.
Portfolio rights
This is the one most studios bury. We're putting it up front because it affects every client we work with.
When you hire us, our standard engagement gives you full ownership of your finished deliverables once you've paid in full. In exchange, we retain the right to use the work in our portfolio, on this site, in our social channels, in pitches and proposals, and in promotional materials. That's how studios survive: the work is the marketing.
If you have a specific reason to keep a project private (NDA, pre-launch product, sensitive personal content), tell us before we start and we'll honor it in writing in your engagement agreement. Otherwise, the standard portfolio right applies.
Your rights
You have rights over the information we hold about you. Depending on where you live, those rights may include:
- Access, ask us what we have on you
- Correction, tell us to fix something that's wrong
- Deletion, ask us to delete it (subject to legal and contractual obligations; we can't delete a paid invoice from our books)
- Opt-out of marketing, every newsletter has an unsubscribe link, and you can email us anytime
- Portability, ask for your data in a usable format

If you're in California, the EU, or the UK, you have additional rights under your local laws (CCPA, GDPR, UK GDPR). The rights above cover the substance of those laws, exercise them the same way.
Cookies
We use cookies and similar technologies to make the site work and to understand how it's used. Most are essential (the site won't function without them); some are analytics. Your browser lets you control or block cookies; doing so may break parts of the site.
Our forms use Cloudflare Turnstile to tell people from automated submissions. It runs in the background, may set a cookie for that purpose, and sends Cloudflare technical details about your browser and connection. See Cloudflare's privacy policy for how they handle that data.
The site may also use cookies from Google Analytics and Google Ads conversion measurement. We use them to measure which pages and ad campaigns lead to inquiries. Ad personalization is turned off, and form contents are never sent to Google. You can block or delete these cookies in your browser settings, and control how Google uses ad data on Google's ads settings page.
Security
We take reasonable steps to protect the information we hold, encryption in transit, access controls, vendor due diligence, the basics done well. But no system is bulletproof, and we won't pretend otherwise. If a breach affects you, we'll notify you as required by law and tell you what we know.
Children
Our services are for businesses and adults running them. We don't market to children and we don't knowingly collect information from anyone under 16. If you believe we have, email us and we'll delete it.
Changes to this policy
We'll update this policy when our practices change or the law requires it. The "Effective date" at the top tells you when the current version went live. Material changes get an email to active clients and a notice on this page.
